Job Summary
The Internal Services Department is seeking a Senior Facilities Specialist to help manage the day-to-day operations of our facilities to include the maintenance of buildings and grounds, equipment, and fleet vehicles.
The Senior Facilities Specialist will be responsible for ensuring that our office environment is safe, clean, well-maintained, and that all facilities-related services meet the needs of our employees and visitors.
Primary Responsibilities
- Collaborate with the facilities team to oversee the day-to-day operations of the facility, ensuring HVAC, plumbing, electrical, and other systems are in optimal condition.
- Help develop and enforce safety protocols to maintain a secure working environment by conducting safety inspections and audits, identifying hazards, and taking corrective action
- Ensure vehicles are properly maintained, serviced and ready for operation, while meeting safety and regulatory standards.
- Assist with the administration of the company’s WEX (fuel management) system, ensuring fuel usage is tracked, recorded, and reported accurately.
- Manage relationships with external vendors for services such as maintenance, landscaping, and other facility-related services.
- Partner with other facilities team members and departments to manage space utilization, including office layouts, meeting room arrangements, renovation, and furniture setup.
- Maintain accurate records of all facility-related tasks, including maintenance, repairs, vendor contracts, safety audits, and fleet management and collaborate with the team to prepare and share reports with management.
- Support management of emergency preparedness and response plans.
- Work with the facilities team to implement green initiatives that focus on energy efficiency, waste reduction, and minimizing the environmental impact of the facility.
- Serve as the primary point of contact for facilities-related inquiries, requests, and emergencies, providing timely and effective resolution.
- Assist with special projects, initiatives and other duties as assigned.

The Senior Facilities Specialist works under the general guidance of the Manger, Facilities, who reviews the employee’s work performance periodically in terms of overall effectiveness and provides professional and administrative guidance as needed. The Manger, Facilities signs time sheets, approves requests for vacation, sick leave, and other time off. This position is non-exempt from the overtime provisions of the Fair Labor Standards Act.
Physical Requirements
The Senior Facilities Specialist must maintain the physical condition necessary to perform tasks in an office setting such as operating a personal computer, keyboard, and other peripheral equipment. The employee will be regularly required to stand for extended periods of time, lift heavy objects and maneuver stairs. Periodic travel within North Carolina may be required.
Qualifications
- Minimum of 5+ years of experience in Facilities Management, Fleet Management, Business Administration, or related role.
- Knowledge of building systems (HVAC, electrical, plumbing) and general facility maintenance.
- Experience with fleet vehicle management, including maintenance scheduling and fleet performance tracking.
- Experience with WEX fuel card systems or similar software is a plus.
- Excellent organizational skills with the ability to multitask and prioritize competing demands effectively.
- Exceptional communication and interpersonal skills, with the ability to interact professionally with employees, vendors, and stakeholders at all levels both internal and external.
- Demonstrated ability to use Word, Excel, PowerPoint, and Outlook effectively for various tasks such as document creation, data analysis, presentations, and email communication.
- Customer service focus, with the ability to address and resolve issues in a professional and timely manner, ensuring a high standard of service.
- A valid NC Driver’s license.
- Flexibility to respond to urgent facilities-related issues as needed.
